The Clinic Support Representative MMG Clinics provides both clinical and administrative assistance to improve operational workflow within the clinic location. This position will be responsible for management of the electronic health record, scheduling, patient registration, and insurance verification. Essential job duties will also include providing direct patient care and assisting medical staff, physicians and nurses, with procedures as needed.
Clinic Operations Support
Ensures appropriate room set up to support the needs of scheduled procedures as directed by the Physician, Advanced Practice Nurse, and/or Professional Nurse
Assists the patient/ family in signing the consent to treat.
Maintains clerical supplies, Meditech downtime documents and medical record forms at nursing station.
Prepares and submits maintenance work slips when necessary.
Ensures all interdepartmental mail is delivered daily.
Maintains current telephone list for physician, on call schedule, and hospital referrals.
Answers phones/picks up voice mail messages.
Develops and distributes accurate patient schedules.
Inclusive of all other duties as assigned by department head and immediate supervisor.
Responds to patient care needs with an appropriate sense of urgency. Rounds on patients to assist with moving through the appointment.
Escorts patients to their rooms.
Accurately takes and documents patients’ vital signs and weights.
Assists patients with donning and doffing of clothes and prosthetics/orthoses as needed.
Assists patients with transfers and mobility activities utilizing appropriate techniques, precautions and assistive devices.
Completes necessary documentation of medical intervention in LSS and Meditech
Inclusive of all other duties as assigned by department head, supervisor, and charge nurse.
Scheduling and Registration
Schedules clinic appointments.
Obtain pre-authorozation for procedures and diagnostic tests as appropriate.
Sends out pre-registration packet and reminder letter to the patient prior to the appointment.
Updates schedules daily to reflect changes for patient needs as requested by service providers.
Proactively, efficiently and professionally communicates with internal and external customers to maximize scheduling productivity and to minimize and/or resolve scheduling conflicts.
Identifies scheduling conflicts and contacts appropriate individuals for resolutions.
Utilizes tracking reports available to identify unscheduled appointments and reason.
Assists patients and families with customer service issues.
Assists with re-working schedules when necessitated by unscheduled staff absence.
Update cancelled appointments with the appropriate cancellation reason codes to assist with tracking reports.
Confirm patient demographics and insurance information and verify its accuracy.
Implement authorization process.
Communicate to patients their financial liabilities, benefit limitations and payment options prior to scheduled appointment time.
Coordinate with Patient Financial Services for payment arrangements, medical assistance applications and charity benefits.
Monitor the verification process for effectiveness and efficiency, report results and suggest process improvements to the Clinical operations Manager.
Medical Record Management
Supports Electronic Medical Record/Reporting
Copies or faxes medical records as directed.
Scans reports in to Electronic Medical Record
Reviews physician schedules at practicing locations for potential conflicts.
Acts as a liaision between practicing location staff, physicians, and clinical leadership team.
High School or Equivalent (GED)
Certification from an accredited Medical Assistance or Nursing Assistant program is required
Active CPR certification is required
3 – 4 years experience: Previous experience as a certified nursing assistant/unit secretary in a hospital setting or medical setting is preferred
Intermediate computer skills are required.
Must possess strong communication,critical thinking, prioitization, multi-tasking and organizational skills.
Demonstrates exceptional customer service skills
Basic math skills are required.
Flexibility and ability to manage work in a changing environment.
THIS POSITION WILL ALSO COVER HOURS AT THE AURORA CLINIC SITE, APPROXIMATELY 25% OF HOURS WORKED
